Starting situation
Construction and service companies work with paper forms every day: site reports are filled in by hand on the construction site, carried to the office, retyped, copied and filed. This is slow, error-prone and not audit-proof. Attachments such as photos or signatures are hard to find, versions get lost — and management only sees what happened on site with days of delay.
Solution
A multi-tenant SaaS platform that covers the entire process from field capture to audit-proof cloud storage — including photo/video attachments, on-device signatures and an office workflow that always shows the current state.
Three components, clearly separated
1. Mobile app for the construction site
Native iOS and Android app used by field staff. Daily reports, time-and-material slips and delivery notes are filled in directly on the smartphone — even without a stable internet connection. Photos are captured directly, signatures are made on the screen. Inputs are auto-saved and uploaded as soon as the connection is back.
2. Web admin for the office
Office users see all incoming reports live in the browser, can filter, correct, download as PDF or export them in bulk as ZIP. Forms are designed via drag-and-drop — no programming skills required — and instantly rolled out to all mobile devices.
3. Backend in the cloud
Connects everything in the background, takes care of PDF generation, audit-proof storage and data security. Scales automatically with load and is continuously developed further.
What the platform delivers
Digital forms instead of paper
- Design any form (site report, time-and-material slip, delivery note, maintenance protocol, …) in the web app and roll it out to all smartphones
- 15+ field types: text, numbers, date/time (also in 15-minute steps), select lists, photos, videos, signatures, repeatable table rows
- Fields can calculate themselves automatically (e.g. sum of hours from multiple rows)
- Required fields, validation and pre-filling (e.g. with employee name and date) are configurable in the designer
Mobile app for the construction site
- Works offline — inputs are buffered and uploaded as soon as the connection is back
- Auto-save protects against data loss, even if the app is closed
- Photo and video capture directly from inside the form
- Signature directly on the screen
- Quick updates without a store release
PDF generation in the customer's corporate design
- Custom Word templates are filled automatically with the field data
- Alternatively: design the PDF layout visually directly in the web app
- Photos and signatures are embedded pixel-accurate into the PDFs
Audit-proof storage
- PDFs are automatically stored in the cloud — with human-readable paths that sync without issues into the familiar Windows folder structure
- Corrections automatically create a new version, the old version remains traceable
Office workflow in the browser
- All incoming reports visible live — filterable by date, employee, form, with/without attachments
- View PDFs directly in the browser
- Select multiple reports at once and download as ZIP (grouped by employee, document type or period)
- Correct reports and regenerate them — old versions are preserved
Employee & multi-tenant management
- Multiple companies can use the same platform — strict separation, nobody sees others' data
- Import employees via CSV, assign roles, reset passwords
- Multi-factor authentication for admin accounts
Branding & configuration
